What is a payment receipt?
A payment receipt is a document confirming that a payment was received. Unlike a cash receipt, which is specifically for cash, a payment receipt covers any method: card, bank transfer, UPI, cheque, mobile money. It records who paid, who received it, the amount, the date, the method and a reference, and it serves as proof for both sides.
When to use a payment receipt vs. a cash receipt
Use a payment receipt whenever the payment was not cash, or when you want the method recorded precisely. Cash-only payments can use the simpler cash receipt generator.
| Situation | Use this |
|---|---|
| Client paid invoice by bank transfer | Payment receipt: record the transfer ref |
| Customer paid by card in store | Payment receipt: note card, last 4 digits optional |
| Freelancer paid via UPI | Payment receipt: record the UPI ref |
| Tenant handed you cash | Cash receipt: simpler, cash-specific |
| Salary advance in cash (South Asia) | Money receipt: familiar wording |
How to make a payment receipt in 4 steps
- Enter your business name and the payer’s name.
- Add the amount, currency and payment method. Include the transaction reference if you have one.
- Describe what the payment was for: invoice numbers help.
- Check the live preview, print or save the PDF, and keep a copy for your records.
What should a payment receipt include?
- A receipt number, unique and sequential.
- The date the payment was received.
- Who paid and who received it.
- The amount in figures and in words.
- The payment method and any transaction reference.
- What the payment was for.
- Signature lines for both sides.
Transaction references: the detail most receipts miss
For any non-cash payment, the transaction reference is what connects your receipt to the money trail:
- UPI payments: every UPI transfer has a 12-digit UTR (Unique Transaction Reference). Copy it from your banking app into the reference field.
- Bank transfers: NEFT, IMPS and RTGS all generate reference numbers. Without one, a receipt just says money moved; with one, it says exactly which transfer.
- Card payments: the last 4 digits of the card plus the date are usually enough to identify the charge.
- Cheques: record the cheque number and the drawee bank.
In a dispute, the side with the reference number wins the argument faster. It takes ten seconds to add and this generator prints it prominently on the receipt.
Payment receipts for UPI payments
UPI moved millions of Indian payments from cash to phone, but the receipt habit did not keep up. A UPI payment leaves a record in two banking apps, yet neither app gives the payer a proper receipt with the business name, purpose and amount in words. That is the gap a payment receipt fills.
Every UPI transaction carries a 12-digit UTR (also shown as Ref No. in Google Pay, PhonePe or Paytm). Copy that number into the transaction reference field of the generator above. Now your receipt says: who paid, who received, how much, for what, and exactly which bank transaction it was. If a customer ever claims “I already paid,” you point at the UTR on your receipt and the matching entry in your bank statement, and the discussion ends.
What to write for common UPI situations
- Shop sale via QR: Payment for: “Groceries, bill dated today.” Method: UPI. Ref: the 12-digit UTR.
- Freelance milestone: Payment for: “Logo design, milestone 2 of 3.” Method: UPI. Ref: UTR. Add the invoice number if there is one.
- Rent over UPI: Payment for: “October rent, Flat 4B.” Method: UPI. Naming the month prevents double claims.
One caution: screenshots of payment apps are not receipts. They can be edited, they miss the purpose of payment, and they look unprofessional. A generated receipt with the UTR takes the same thirty seconds and is far stronger.
GST and tax on payment receipts in India, Pakistan and Bangladesh
A payment receipt is not a tax invoice, but tax still touches it. Here is what to know in each country.
India (GST)
If you are GST-registered, your receipts should show your GSTIN and state whether the amount is inclusive or exclusive of GST. The itemized lines feature above lets you add a tax percentage so the receipt shows subtotal, GST and total separately, which is exactly what accountants want to see. Composition-scheme dealers should not collect GST separately; show the total only.
Pakistan (Sales tax / PRA / SRB)
Registered businesses in Pakistan may need to show sales tax registration numbers on receipts for taxable services. Punjab, Sindh and other provinces have their own revenue authorities, so the exact label varies. When in doubt, show the tax amount as a separate line and keep the receipt numbered; your tax consultant will map it correctly at filing time.
Bangladesh (VAT / Mushak)
VAT-registered businesses in Bangladesh issue Mushak challans for taxable supplies, which is a separate formal document. A payment receipt still has its place as the customer’s proof of payment. If VAT applies, showing it as a separate line with your BIN (Business Identification Number) keeps everything consistent.
General rule across all three: a receipt that shows tax separately is always safer than one that buries it. Use the tax field in the generator whenever tax is part of the amount.
Three worked examples: UPI, bank transfer, card
1. UPI payment for freelance work (India)
Received by: Priya Designs. Received from: Arjun Mehta. Amount: Rs. 18,000. Payment for: Website homepage design, 50% advance. Method: UPI. Transaction ref: 452189076331. Itemized lines: “Homepage design (1 x 12,000)” and “Revision buffer (1 x 6,000)”, tax 18% shown separately. The client gets a receipt that matches the UPI debit exactly.
2. Bank transfer for services (Pakistan)
Received by: Bright Services Ltd. Received from: Client name. Amount: Rs. 85,000. Payment for: Monthly retainer, October. Method: Bank transfer. Transaction ref: IBFT-88213. The IBFT reference ties the receipt to the bank statement, which matters at audit time.
3. Card payment for a product (anywhere)
Received by: Corner Electronics. Received from: Walk-in customer. Amount: $240. Payment for: Bluetooth speaker, Model X2. Method: Card. Transaction ref: last 4 digits of the card slip or approval code. Itemized lines with quantity and price make returns painless later.
All three take under a minute in the generator above. Fill the fields, check the live preview, print or download the PNG.
How long should you keep payment receipts?
The short answer: longer than you think. The exact period depends on your country’s tax law, but the safe rule for small businesses is seven years from the end of the relevant tax year.
- India: Income tax law generally requires books and documents to be kept for six years from the end of the assessment year. GST records have their own retention rules, typically around six years as well.
- Pakistan: FBR generally expects records to be maintained for six years. Provincial revenue authorities may specify their own periods for sales tax on services.
- Bangladesh: NBR requirements point to keeping business records for several years; six years is the commonly cited safe period.
Digital receipts make this painless: a year-folder of PDFs costs nothing to store and cannot fade the way thermal paper does. (Thermal printouts go blank in about two years, which is another reason to generate digital copies.) For personal payments, keep receipts at least until the warranty or return window closes, plus one year.
Payment receipts for freelancers and agencies
Freelancers live on receipts. Every advance, milestone payment and final settlement should produce one, because your income is irregular and your memory of a project from eight months ago will not survive a tax notice.
The milestone pattern that works
Break project payments into numbered receipts that reference the project: “Website redesign, milestone 2 of 3, invoice INV-1042.” When the client pays the UPI or bank transfer, the receipt carries the UTR. At project end you have a clean chain: invoice, three receipts, three bank entries. No accountant will ever complain about that file.
Advances deserve receipts too
Many freelancers skip receipts for advances (“it is not the full payment yet”). That is backwards: advances are exactly when disputes start. Issue a receipt marked “advance against project X, balance due on completion.” It protects both sides and makes the final invoice simple.
Retainers and subscriptions
For monthly retainers, issue one receipt per month naming the month, like “Retainer, October 2026.” Twelve small receipts beat one annual scramble. The preset buttons in the generator above include common freelance scenarios; one click fills the form and you only adjust the amount.
Payment receipt vs. invoice vs. quote: the full workflow
Receipts make the most sense as the last step of a three-document workflow. Here is how the pieces fit together for a typical service business:
- Quote (before work). You tell the client what the job will cost. No money moves. The quote sets expectations and prevents the most common dispute of all: “I thought it would cost less.”
- Invoice (after work, before payment). You formally request payment, with an invoice number, due date and payment details. The invoice is what the client’s accounts department needs.
- Payment receipt (after payment). You confirm the money arrived. Reference the invoice number on the receipt so the three documents link into one chain: quote, invoice INV-1042, receipt for INV-1042 with UTR.
Why does this matter for a receipt generator? Because the best receipts reference the invoice they settle. When you fill the “Payment for” field above, write the invoice number in: “Invoice INV-1042, web design.” Months later, anyone can trace the payment from quote to invoice to receipt to bank statement without asking you a single question.
For simple cash sales there is no quote or invoice, and the receipt stands alone. That is fine. The workflow above is for jobs big enough to need paperwork, which is exactly where good receipts pay for themselves.
