What an invoice has to have

An invoice that is missing any of these is the reason a payment sits in someone's queue for an extra three weeks.

  • The word Invoice, and a unique invoice number you can refer to later
  • Your business name, address and tax number if you have one
  • The client's name and address, spelled the way their accounts team has it
  • Issue date, and the due date written as a date rather than as Net 30
  • A line for each item with quantity, rate and line total
  • Subtotal, tax, and the amount due in bold
  • How to pay, including bank details or a payment link

Receipt templates by type

A receipt confirms money arrived, which is a different job from asking for it. These carry the extra detail the recipient usually needs, whether that is a provider tax number for a childcare claim or gallons on a fuel purchase.

Do I need an invoice number?

You should have one. It does not have to be complicated. Sequential numbering such as 2026-001 is enough, and it makes an invoice far easier to chase later.

Is my data uploaded anywhere?

What is the difference between an invoice and an estimate?

An estimate is a price you are offering before the work starts. An invoice is a request for payment after it is done. Sending the wrong one is a common cause of payment delays.
