Handwritten GST Invoice: Rules, Format + Free Generator
Millions of small businesses in India still write invoices by hand. A handwritten GST invoice is fully valid under GST law, as long as it carries every mandatory field. The law requires the fields, not a printed format.
This page explains the rules for a handwritten GST invoice, shows the exact format to follow, lists the mistakes that get handwritten bills rejected, and gives you a free generator that produces the same compliant invoice as a PDF in about a minute.
Everything here is free. There is no signup and no watermark.
Is a handwritten GST invoice valid?
Yes. GST law does not require invoices to be printed or computer-generated. A handwritten GST invoice is legally valid provided it contains all the mandatory particulars, is clear and legible, and bears the required signature.
Two limits apply. First, if your business falls under mandatory e-invoicing (turnover above Rs 5 crore at the time of writing), a handwritten invoice alone is not enough: you must generate an IRN and QR code through the Invoice Registration Portal. Second, the handwriting must be readable. An illegible invoice can be treated as invalid, and your buyer may lose input tax credit on it.
For everyone else, from kirana shops to field sales teams, a properly written manual bill works exactly like a printed one.
Free handwritten GST invoice alternative: generate one online
If handwriting every bill is slowing you down, the free generator builds the same GST-compliant invoice as a PDF in about a minute. Enter the GSTINs, items with HSN codes, and tax breakup. No signup, no watermark. Many small businesses use it alongside their bill book for cleaner copies.
Handwritten GST invoice format: all mandatory fields
Rule 46 lists the particulars every tax invoice must carry, handwritten or not. Check each bill against this list:
- Name, address, and GSTIN of the supplier.
- A consecutive serial number, unique for the financial year.
- Date of issue.
- Name, address, and GSTIN or UIN of the recipient, if registered.
- Name, address, and place of supply, if the recipient is unregistered.
- HSN code for goods or SAC code for services.
- Description of the goods or services.
- Quantity and unit of measurement.
- Total taxable value of the supply.
- Rate and amount of tax: CGST, SGST or UTGST, or IGST, shown separately.
- Place of supply with the state name.
- A note where tax is payable on reverse charge basis.
- Signature of the supplier or authorized representative.
Write each field on its own line. Crowded bills get misread, and misread bills get rejected. The CBIC GST portal publishes the governing rules: see the CBIC portal.
Handwritten GST invoice format: a sample layout
Copy this layout into your bill book:
TAX INVOICE No. 042/2026-27 Sharma Trading Co. 12 MG Road, Mumbai 400001 GSTIN: 27ABCDE1234F1Z5 ---------------------------------------- Bill to: Retail Mart, New Delhi GSTIN: 07XYZAB5678E1Z2 Date: 16/10/2026 | Place of supply: Maharashtra ---------------------------------------- 1. Keep one bill book per financial year. Number every page before you start writing.

Handwritten GST invoice rules for e-invoicing
Businesses above the e-invoicing turnover threshold cannot rely on handwritten bills alone. You must report each invoice to the Invoice Registration Portal and get an IRN with a QR code. A manual bill without an IRN is treated as not issued at all.
If you are below the threshold, handwritten invoices remain fully valid. But check the threshold every year: it has been lowered over time, and crossing it without e-invoicing creates real liability.
When in doubt, generate the invoice digitally. The free generator above produces e-invoicing-ready data you can report.
Handwritten GST invoice mistakes that cause problems
Illegible handwriting. If the tax officer or your buyer cannot read it, the invoice fails. Write slowly and clearly, especially GSTINs and amounts.
Missing HSN codes. Every line needs its HSN or SAC code. “As per bill” is not a description.
Wrong tax split. Intra-state means CGST plus SGST; inter-state means IGST. Let the place of supply decide, even on a handwritten bill.
Broken serial numbers. Skipped or duplicate numbers in a bill book raise questions. Pre-number every page.
No signature. An unsigned handwritten bill does not meet the requirements. Sign every copy.
Cutting and overwriting. Corrections with whitener or heavy overwriting look tampered. Cancel the page and rewrite instead.
Handwritten GST invoice vs printed invoice
Both are valid if they carry the mandatory fields. The differences are practical:
| Handwritten | Printed/Digital | |
|---|---|---|
| Speed | Fast for one-off bills | Faster at volume |
| Errors | More calculation mistakes | Auto-calculated |
| Legibility | Depends on handwriting | Always clear |
| Storage | Physical bill book | Digital backup |
| E-invoicing | Manual IRN process | Direct portal reporting |
| Cost | Bill book only | Free with online tools |
Most growing businesses start handwritten and switch to digital as volume rises. There is no legal reason to wait.
Handwritten GST invoice FAQs
Is a handwritten GST invoice legal in India?
Yes. GST law requires the mandatory fields, not a printed format. A clear, complete, signed handwritten bill is fully valid, except where e-invoicing is mandatory.
What must a handwritten GST invoice include?
Supplier and buyer GSTINs, consecutive serial number, date, HSN/SAC codes, item descriptions, quantities, taxable value, CGST/SGST or IGST breakup, place of supply, and signature.
Can I use a handwritten bill book for GST?
Yes. Use a bound bill book with pre-printed serial numbers, one book per financial year. Each page is one tax invoice.
Do handwritten GST invoices need e-invoicing?
Only if your turnover crosses the mandatory e-invoicing threshold (Rs 5 crore at the time of writing). Below it, handwritten bills are fine on their own.
What if my handwriting is bad?
Then do not handwrite tax invoices. Illegible bills risk rejection and cost your buyer their input tax credit. Use the free generator instead.
How do I number handwritten GST invoices?
Pre-number every page of the bill book before use: one consecutive series per financial year, no gaps, no duplicates.
Can I correct a mistake on a handwritten invoice?
Do not overwrite or use whitener. Cancel the page clearly, keep it in the book, and rewrite on the next serial number.
Is a handwritten GST bill valid without GSTIN?
No. The supplier GSTIN is mandatory on every tax invoice. Without it, the document is not a valid GST invoice.
Do I need to show HSN codes on handwritten bills?
Yes. Every line item needs its HSN code for goods or SAC code for services, exactly as on a printed invoice.
Is this handwritten GST invoice format free to use?
Yes. Copy the format above freely, or generate the same compliant invoice as a PDF with the free online tool. No signup, no watermark.
