Deposit Receipt Template

A deposit receipt confirms a landlord received a security deposit, states the amount, and notes where it is held, since many states require deposits to sit in a separate account. A worked example and a free generator are below.

Deposit receipt template for a security deposit showing the amount received, the rental unit, the payment method and the escrow account holding it.
Many states require the deposit to sit in a named separate account, and recording it protects both sides at move-out.

A security deposit receipt is not the same as a rent receipt. Rent pays for the month; a deposit is held against damage or unpaid rent and is meant to come back, in full or in part, when the tenant moves out.

What goes on a deposit receipt

  • Landlord name and contact details
  • Tenant name and the rental address
  • Deposit amount received
  • Date received and payment method
  • Where the deposit is held, bank name or account type, if your state requires it
  • The lease start date the deposit applies to
  • A signature line for the landlord

A worked example

Tenant: R. Alvarez. Property: 214 Birchwood Lane, Unit 3. Lease starts 1 September. Security deposit received 20 August, 1,450 dollars, by bank transfer. Held in a separate escrow account at First Coastal Bank, account ending 4471, per state law. Receipt signed and dated by the landlord.

Noting the account where the deposit sits protects both sides. If the landlord ever contests a deduction at move-out, a tenant with this receipt can point to exactly when and how much was handed over, and where it was supposed to be kept.

Deposit receipt or rent receipt

Issue a deposit receipt once, when the deposit is paid, usually alongside the lease. A rent receipt gets issued every time rent is paid, month after month. A tenant who only ever gets a combined “first month plus deposit” receipt at move-in should still get a fresh rent receipt for every payment after that.

Frequently asked questions

Does a security deposit receipt have to state where the money is kept?

Many states require it. Rules vary by state, some require a separate escrow or trust account and written disclosure of where it sits, so check your state’s landlord-tenant law.

Is a deposit receipt the same as a lease?

No. The lease sets the terms of the tenancy. The deposit receipt is a separate, short document confirming the deposit itself was paid and received.

What happens to the deposit receipt at move-out?

It becomes the reference point for the move-out inspection and any deductions. Keep it until the deposit is returned and the tenancy is fully closed out.
