IT work is billed in more shapes than almost any other professional service: ad-hoc hourly support, a monthly managed-services retainer, prepaid hour blocks drawn down over time, and project work quoted in advance. Many clients are on two of these at once, which is why an invoice that does not label the basis of each line generates questions every month.

The prepaid block balance sits on the invoice even though it is not a charge. Clients who buy hours in advance want to see the drawdown, and showing it is what prompts them to top up before they run out.
What causes IT billing disputes
- Retainer scope unclear. If the retainer covers support but not projects, the invoice should make that boundary visible rather than leaving the client to infer it.
- No ticket references. Clients reconcile invoices against their own request history; a line reading “support, 6 hrs” cannot be checked.
- Licences marked up silently. Pass-through costs should be labelled as such, at cost, on their own lines.
- Block hours with no balance shown. Clients lose track, and the first they hear of an exhausted block is an unexpected hourly invoice.

Should IT support be billed hourly or on retainer?
Retainers suit predictable ongoing support and give the client a fixed monthly cost; hourly suits ad-hoc or project work. Many arrangements use both, in which case the invoice should label each line so the client can see what the retainer covered and what fell outside it.
How do I show prepaid block hours?
List the hours drawn during the period and the balance remaining, even though neither is a charge on this invoice. It gives the client visibility and prompts a top-up before the block runs out and work reverts to standard hourly rates.
Should hardware and licences be marked up?
That is a commercial decision, but whichever you choose the invoice should be explicit. Pass-through items listed at cost on their own lines read as transparent; the same items absorbed into a service fee tend to raise questions when the client sees the vendor price elsewhere.
