How to Write a Receipt

Step-by-step guide

How to Write a Receipt

A good receipt takes two minutes to write and saves hours of arguments later. Here is exactly what to include, with examples for the situations people actually face.

Quick answer: A proper receipt needs seven things: a receipt number, the date, who paid, who received the money, the amount in figures and words, what the payment was for, and signatures. Write the amount in words. It is much harder to alter than figures.

What a receipt must include

Every receipt, whatever the payment was for, should carry the same core details. Miss one and the receipt loses value as evidence.

DetailWhy it matters
Receipt numberSequential numbering proves no receipts went missing
DatePins the payment to a day; tax records need it
Received from (payer)Full name so there is no doubt who paid
Received byYour name or business name
Amount in figuresThe exact sum, with currency
Amount in wordsHarder to forge than figures: do not skip this
Payment forWhat the money covered, specific enough to identify
Payment methodCash, card, transfer, cheque, UPI
SignaturesBoth sides sign; the payer’s signature is the acknowledgement

Writing one, step by step

  1. Number and date it. Write the next sequential receipt number and today’s date at the top. If you issue receipts regularly, a simple logbook or spreadsheet of numbers prevents duplicates.
  2. Name both parties. “Received from” gets the payer’s full name; “Received by” gets yours or your business name. Nicknames cause confusion later.
  3. Write the amount twice. Figures first (e.g. $2,500.00), then the same amount in words underneath. If they ever disagree, the words usually win in a dispute.
  4. State the purpose precisely. “Rent” is weak; “May 2026 rent, Apt 2B” is strong. Include invoice numbers, months, or item descriptions.
  5. Note the method. Cash, card (last 4 digits optional), bank transfer (reference), cheque (number), UPI (ref). This ties the receipt to the money trail.
  6. Sign and copy. Both sides sign. Make two copies: the payer keeps proof of payment, you keep a sales record.

Examples for common situations

The purpose line is where most receipts fail. Match your situation:

SituationWrite this as the purpose
RentMay 2026 rent, Apt 2B
Freelance workInvoice #1042: logo design, paid in full
Loan repaymentPersonal loan repayment, instalment 3 of 6
Second-hand saleSale of used bicycle, sold as seen, serial #BX-221
DepositDeposit for photo session Nov 14; balance $300 due on day; refundable until Nov 7
TuitionTuition fee, Class 10, April term
Part paymentPart payment toward invoice 2031; balance $450 still owed

How to write the amount in words

Write the whole-number part in words, then the cents as a fraction over 100, then the currency, then “only”. Examples:

  • $2,500.00 → “Two thousand five hundred dollars only”
  • $1,234.56 → “One thousand two hundred thirty-four and 56/100 dollars only”
  • ₹5,000 → “Five thousand rupees only”

Mistakes that cause disputes

Do not create receipts for payments that never happened. A receipt is evidence of a real transaction. Fabricating one can be fraud, and tax authorities treat it seriously.
  • Vague purpose lines (“rent”, “payment”): useless in a dispute. Be specific.
  • No amount in words: figures are easy to alter; words are not.
  • Missing signatures: an unsigned receipt is just a note.
  • Skipped numbers: gaps in numbering look like hidden receipts.
  • Only one copy: if the payer loses theirs and you have none, nobody can prove anything.

Partial payments and balance due

Not every payment settles the full amount. When someone pays in part:

  • Write the amount received and the remaining balance on the receipt.
  • Reference the original invoice or agreement number so the partial payment can be matched later.
  • Issue a fresh receipt for each instalment, numbered in sequence.
  • On the final payment, write “paid in full” so nobody chases a balance that no longer exists.

Digital vs handwritten receipts

A handwritten receipt is valid if it has all the required details and both sides sign. But printed receipts win in practice: they are easier to read, harder to alter, and simpler to store. A phone photo of a handwritten receipt fades; a PDF from a generator does not. If you must handwrite, use a bound receipt book with carbon copies so both sides leave with the same record.

Keeping a receipt logbook

Individual receipts prove individual payments. A logbook proves the pattern. Keep a simple running list: receipt number, date, payer, amount, purpose. When tax time comes, or when a customer claims “I already paid,” the logbook answers in seconds. Number every receipt without gaps; a missing number looks like a hidden transaction.

Frequently asked questions

What is the correct format for a receipt?
Receipt number and date at the top, then payer, receiver, amount in figures and words, purpose, payment method, and signature lines. Keep the layout simple and readable.
How do I write the amount in words on a receipt?
Write the whole amount in words, add cents as a fraction (e.g. “and 56/100”), then the currency and “only”. Example: “Two thousand five hundred dollars only”.
Is a handwritten receipt valid?
Yes, if it contains all the required details and both sides sign. A printed receipt is simply easier to read and harder to dispute.
What is the difference between a receipt and an invoice?
An invoice requests payment before it happens; a receipt confirms payment after it happened. Send invoices to ask for money, give receipts to prove you received it.
Do I need to keep copies of receipts I issue?
Yes. Keep every receipt you issue or receive for as long as your tax authority requires business records, and ask an accountant about the exact period.
Can I write a receipt on my phone?
Yes. Use a mobile-friendly generator like ours, fill the form, and print or save the PDF. No app needed.
What should I write for the purpose on a rent receipt?
The month the payment covers plus the unit: “May 2026 rent, Apt 2B”. Never just “rent”.
Is it okay to issue a receipt without a signature?
It is better than nothing, but a signature is what turns a note into acknowledgement. Always get both sides to sign when possible.
