What is a money receipt?

A money receipt is a written acknowledgement that a sum of money has been received. It records the payer, the receiver, the amount, the date and the purpose of the payment. In India, Pakistan and Bangladesh it is the everyday term for what elsewhere is usually called a cash receipt or payment receipt. For a deeper explanation, see our money receipt guide.

Money receipt vs. cash receipt

Same document, different name. “Money receipt” is simply the South Asian term for a cash or payment receipt. The details it should carry are identical.

How to make a money receipt in 4 steps

  1. Enter your name or business name, and who paid you.
  2. Add the amount and pick the currency. The amount in words is filled in automatically.
  3. Write what the payment was for: be specific, e.g. “Loan repayment, March” rather than just “loan”.
  4. Check the live preview, print or save the PDF, and have both sides sign. Keep a copy each.

Who uses money receipts

In India, Pakistan and Bangladesh, the “money receipt” is the everyday document for cash changing hands. Here is who relies on it:

  • Shopkeepers and market sellers. Every cash sale gets a numbered receipt. At day end, the receipt book is the sales record.
  • Landlords. Monthly rent paid in cash needs a receipt naming the month and the unit, so neither side argues later.
  • Tuition teachers and tutors. Fee collection from dozens of students stays clean when each payment gets its own receipt.
  • Freelancers and small contractors. Advance payments and milestone payments in cash are acknowledged on the spot.
  • Loan repayments between family. Even informal loans go smoother with a written record of each instalment.

Bank transfer and UPI payments

Not every “money receipt” is for physical cash. When someone pays by bank transfer or UPI, the receipt should record the transaction reference (UTR number) alongside the amount. That reference ties your receipt to the bank record, which makes it far stronger evidence if there is ever a dispute. Our generator has a field for it: paste the UTR from your banking app and it appears on the printed receipt.

Why the amount in words matters

This generator writes the amount in words automatically (for example, “Five thousand rupees only”). Figures can be altered with a pen stroke; words cannot. Courts and accountants across South Asia expect both on any serious receipt, and now you get both without extra typing.

Money receipt formats by country: India, Pakistan, Bangladesh

The phrase “money receipt” is most common in South Asia, but the exact format people expect shifts a little from country to country. Get these small details right and your receipt looks professional to whoever receives it.

India

Indian money receipts almost always show the amount in both figures and words, and business receipts above Rs. 5,000 traditionally carry a revenue stamp with the receiver’s signature across it. If you accept UPI, add the UTR (Unique Transaction Reference) from the banking app; it links the receipt to the bank record. GST-registered businesses should show their GSTIN on the receipt and mention whether the amount includes GST.

Pakistan

In Pakistan the same document is often just called a “receipt,” but “money receipt” is widely understood. Amount in words is standard practice, and many businesses stamp the receipt with a company seal next to the signature. For bank transfers, the IBFT reference number serves the same role as India’s UTR. If you are a filer issuing receipts for services, keeping a numbered sequence matters at tax time.

Bangladesh

Bangladeshi money receipts follow the familiar pattern: serial number, date, received-from, amount in figures and words, and signature. Mobile financial services are huge here, so for bKash, Nagad or Rocket payments, write the transaction ID (TrxID) on the receipt. That one line turns a simple slip into evidence that matches the MFS statement.

The generator above handles all three conventions: pick your currency (INR, PKR, BDT), add the transaction reference, and the amount in words is written for you.

Three sample filled money receipts

Stuck on wording? Here are three realistic examples. You can recreate any of them in the generator above in under a minute.

1. Tuition fee (India, UPI)

Received by: Sharma Tutorials. Received from: Rahul Verma. Amount: Rs. 5,000. Payment for: October tuition fee, Class 10 Maths. Payment method: UPI. Transaction ref: UTR 452189076331. The amount in words reads “Five thousand rupees only,” and the UTR ties the receipt to the bank statement.

2. Rent (Pakistan, cash)

Received by: Ahmad Traders (landlord). Received from: Bilal Ahmed. Amount: Rs. 25,000. Payment for: House rent, October 2026, Flat 4B. Payment method: Cash. The month and unit are named so there is no argument later about which rent this covered.

3. Loan instalment (Bangladesh, bKash)

Received by: Karim Store. Received from: Rahim Uddin. Amount: ৳10,000. Payment for: Loan instalment 3 of 12. Payment method: Mobile money. Transaction ref: TrxID 9HXK2P7Q. Numbering the instalment keeps both sides clear on how much is left.

How to number, store and organize money receipts

A receipt is only useful if you can find it later. The system below takes five minutes to set up and saves hours at tax time.

Number every receipt, no gaps

Use one running sequence per year: FBK-20260101-0001, 0002, and so on. Never reuse a number, and never skip one without writing “cancelled” across the original. Gaps in numbering are the first thing an auditor asks about, because a missing number looks like hidden income. This generator numbers each receipt automatically, so you start clean without thinking about it.

Store paper and digital together

If you still write paper receipts, photograph each one the same day and file the photo by month. For digital receipts, the print-to-PDF flow gives you a file per receipt; name files by number and date, for example “2026-10-0042-rent.pdf”. One folder per year, subfolders per month. That is the whole system.

Reconcile monthly

At month end, list your receipt numbers in a simple spreadsheet and tick them against bank deposits. Any receipt without a matching deposit (for cash) or any deposit without a receipt gets investigated while memories are fresh. Fifteen minutes a month prevents the year-end scramble that every small business dreads.

Money receipt book vs. digital receipts

The classic duplicate receipt book still sits on counters across South Asia, and it works. But it is worth an honest comparison.

Receipt books need no phone, no power, no internet. The carbon copy is instant, and some customers trust paper more. The downsides: handwriting gets sloppy under pressure, books get lost or damaged, there is no backup, and the amount in words must be written by hand every time, which is where errors creep in.

Digital receipts fix exactly those weaknesses. Typing is legible, the amount in words is automatic, every receipt can be saved as PDF, and nothing is lost if the phone is. The tradeoff is dependence on a device and a few seconds more per receipt.

The practical answer for most small businesses is both: keep the book as backup for rush hours and power cuts, but generate digital receipts as the primary record. They print cleanly, they carry the UTR or transaction ID, and at year end you have a searchable folder instead of a shoebox.

When not to use a money receipt

Money receipts are versatile, but they are the wrong document in a few situations. Using the right paper for the right job keeps your records clean.

  • When you are owed money, not receiving it. A receipt confirms receipt. If the customer has not paid yet, send an invoice or a bill first. Issuing a receipt before payment is a classic bookkeeping error that makes your income look higher than it is.
  • For salary payments. Salaries need payslips with tax deductions (TDS in India, withholding elsewhere), not simple receipts. A money receipt cannot show the deductions a payslip must.
  • For GST taxable supplies in India. A GST-registered business must issue a tax invoice for taxable supplies, not just a receipt. The receipt can accompany the invoice as proof of payment, but it does not replace it.
  • For loans you are giving out. When you lend money, what you need is a loan agreement or at least a written acknowledgment of debt with repayment terms. A money receipt only proves the borrower received the cash; it says nothing about repayment.

Rule of thumb: if money is moving toward you and the transaction is complete, a money receipt fits. If anything is still owed, promised or conditional, you need a different document first.

Frequently asked questions

Is a money receipt the same as a cash receipt?
Yes. “Money receipt” is the common term in India, Pakistan and Bangladesh for what elsewhere is called a cash or payment receipt. Same document, same details needed.
What should a money receipt include?
Payer name, amount in figures and words, date, purpose, receiver name and signature, and a receipt number. Both sides should keep a copy.
Is a money receipt legally valid?
Yes, as proof of payment when properly filled. It should show who paid, who received it, the amount, the date and signatures. Keep copies for as long as your tax authority requires.
Can I make a money receipt on my phone?
Yes. This generator works in mobile browsers with no app to install. Fill the form, preview, and print or save the PDF.
Which currency can I use?
INR, PKR, BDT, USD, EUR and GBP via the currency selector. Pick the one your payment was made in.
Is it free?
Yes. No signup, no watermark, unlimited receipts. Everything runs in your browser.
Can I download as PDF?
Yes. Press the Print button and choose “Save as PDF” in the print dialog. The result is a clean, print-ready document.
Do I need to keep a copy?
Yes. Both the payer and the receiver should keep copies, numbered in sequence, so either side can prove the payment later.
Do I need a revenue stamp on a money receipt in India?
For cash receipts of Rs. 5,000 or more, Indian practice is to affix a Rs. 1 revenue stamp signed across by the receiver. It is a traditional requirement, and many accountants still expect it on paper receipts.
What is the difference between a money receipt and a payment receipt?
They overlap heavily. A money receipt usually documents cash or money received, common in South Asia. A payment receipt is broader and covers any payment method including cards and bank transfers, often with a transaction reference.
Can I use a money receipt for tax purposes?
Yes, as supporting evidence of income or expense. Keep receipts numbered and sequential, and match them to bank statements. Your accountant can tell you exactly how to file them.
Should a money receipt be signed?
Yes. The receiver’s signature (plus a company stamp where customary) is what turns a printed slip into an acknowledged document. The generator includes signature lines you can toggle.
