How to Write a Receipt
How to Write a Receipt
A good receipt takes two minutes to write and saves hours of arguments later. Here is exactly what to include, with examples for the situations people actually face.
What a receipt must include
Every receipt, whatever the payment was for, should carry the same core details. Miss one and the receipt loses value as evidence.
| Detail | Why it matters |
|---|---|
| Receipt number | Sequential numbering proves no receipts went missing |
| Date | Pins the payment to a day; tax records need it |
| Received from (payer) | Full name so there is no doubt who paid |
| Received by | Your name or business name |
| Amount in figures | The exact sum, with currency |
| Amount in words | Harder to forge than figures: do not skip this |
| Payment for | What the money covered, specific enough to identify |
| Payment method | Cash, card, transfer, cheque, UPI |
| Signatures | Both sides sign; the payer’s signature is the acknowledgement |
Writing one, step by step
- Number and date it. Write the next sequential receipt number and today’s date at the top. If you issue receipts regularly, a simple logbook or spreadsheet of numbers prevents duplicates.
- Name both parties. “Received from” gets the payer’s full name; “Received by” gets yours or your business name. Nicknames cause confusion later.
- Write the amount twice. Figures first (e.g. $2,500.00), then the same amount in words underneath. If they ever disagree, the words usually win in a dispute.
- State the purpose precisely. “Rent” is weak; “May 2026 rent, Apt 2B” is strong. Include invoice numbers, months, or item descriptions.
- Note the method. Cash, card (last 4 digits optional), bank transfer (reference), cheque (number), UPI (ref). This ties the receipt to the money trail.
- Sign and copy. Both sides sign. Make two copies: the payer keeps proof of payment, you keep a sales record.

Examples for common situations
The purpose line is where most receipts fail. Match your situation:
| Situation | Write this as the purpose |
|---|---|
| Rent | May 2026 rent, Apt 2B |
| Freelance work | Invoice #1042: logo design, paid in full |
| Loan repayment | Personal loan repayment, instalment 3 of 6 |
| Second-hand sale | Sale of used bicycle, sold as seen, serial #BX-221 |
| Deposit | Deposit for photo session Nov 14; balance $300 due on day; refundable until Nov 7 |
| Tuition | Tuition fee, Class 10, April term |
| Part payment | Part payment toward invoice 2031; balance $450 still owed |
How to write the amount in words
Write the whole-number part in words, then the cents as a fraction over 100, then the currency, then “only”. Examples:
- $2,500.00 → “Two thousand five hundred dollars only”
- $1,234.56 → “One thousand two hundred thirty-four and 56/100 dollars only”
- ₹5,000 → “Five thousand rupees only”
Our cash receipt generator fills this in automatically.
Mistakes that cause disputes
- Vague purpose lines (“rent”, “payment”): useless in a dispute. Be specific.
- No amount in words: figures are easy to alter; words are not.
- Missing signatures: an unsigned receipt is just a note.
- Skipped numbers: gaps in numbering look like hidden receipts.
- Only one copy: if the payer loses theirs and you have none, nobody can prove anything.

Not every payment settles the full amount. When someone pays in part:
- Write the amount received and the remaining balance on the receipt.
- Reference the original invoice or agreement number so the partial payment can be matched later.
- Issue a fresh receipt for each instalment, numbered in sequence.
- On the final payment, write “paid in full” so nobody chases a balance that no longer exists.
Digital vs handwritten receipts
A handwritten receipt is valid if it has all the required details and both sides sign. But printed receipts win in practice: they are easier to read, harder to alter, and simpler to store. A phone photo of a handwritten receipt fades; a PDF from a generator does not. If you must handwrite, use a bound receipt book with carbon copies so both sides leave with the same record.
Keeping a receipt logbook
Individual receipts prove individual payments. A logbook proves the pattern. Keep a simple running list: receipt number, date, payer, amount, purpose. When tax time comes, or when a customer claims “I already paid,” the logbook answers in seconds. Number every receipt without gaps; a missing number looks like a hidden transaction.
