Photography Invoice Template
A photography invoice bills the session or day rate, the number of edited images delivered, travel, and any prints or albums, then deducts the retainer already paid. The line most photographers leave off is usage rights: state what the client may do with the images, because that is what they are actually buying. Build one free below.

Photography is one of the few services where the deliverable and the licence are separate things. A client who pays for a shoot has not automatically bought the right to run the images in a national ad campaign, and the invoice is where that boundary gets set. Leave it vague and you find out eighteen months later when the photo turns up on a billboard.

A worked example
A commercial product shoot, invoiced on delivery of the edited files:
- Studio day rate, 8 hrs: $1,200.00
- Editing and retouching, 40 selected images: $600.00
- Assistant, 8 hrs @ $35.00/hr: $280.00
- Usage: commercial, web and print, 2 years, domestic, included
- Travel, 84 mi @ $0.67/mi: $56.28
- Less retainer received 18 July, −$700.00
- Balance due $1,436.28 · due in 14 days · files released on payment
Usage is written out in one line: what, where, how long. That single sentence is worth more than everything else on the invoice if a dispute ever happens.
What causes disputes in photography billing
- No usage terms. Without them the client will assume they bought everything, and reasonably so.
- Image count not stated. “Edited gallery” means forty images to you and four hundred to them.
- Retainer not shown as a deduction. Clients want to see their deposit credited, not quietly netted off.
- Extra edits with no reference to scope. If the package included two revision rounds and they asked for five, invoice the difference and reference the original agreement.

Frequently asked questions
Should usage rights appear on a photography invoice?
Yes. State what the client may do with the images, in which media, for how long and in what territory. Photography clients are buying a licence as much as a file, and an invoice that is silent on it effectively hands over unlimited use by default.
How do I show a retainer or deposit?
List the full project value first, then deduct the retainer as its own line with the date it was received, leaving a labelled balance due. It gives the client a clean record to match against their own payment.
When should I release the final files?
Many photographers release edited files on payment of the balance and say so on the invoice. Whatever your policy, put it on the document. It is far easier to point at a printed term than to introduce one after the client has asked where their photos are.
