Quick answer: A rent receipt generator creates a printable proof that rent was paid for a specific month. Enter the landlord and tenant names, the property address, the period and the amount, then download the PDF. This one runs entirely in your browser, so nothing you type is uploaded anywhere.

What is a rent receipt?

A rent receipt is a written acknowledgement from a landlord that rent has been received for a stated period. Unlike a shop receipt, it is not a point-in-time record. It documents that a specific stretch of occupancy, for example May 1 to May 31, 2026, has been paid for. That period field is what makes it the right document for tax filings, employer submissions and lease disputes.

Salaried employees in India need rent receipts to claim House Rent Allowance (HRA) exemption. Tenants in the US use them for renter tax credits, home-office deduction records and mortgage applications where rental history is checked. Landlords use them to keep clean books and to settle arguments about what was paid and when.

What a rent receipt must include

A receipt missing any of these fields can be rejected by an employer or questioned in a dispute. Check yours against this list before you print.

FieldWhy it matters
Landlord name and addressIdentifies who received the money. Required for tax credits and legal proceedings.
Tenant nameIdentifies who paid. Should match the lease signatory for the receipt to hold up.
Property address and unitPins the payment to the rented premises. Separate units need separate receipts.
Period coveredThe month the payment is for, with start and end dates. This is the field that defines a rent receipt.
Payment dateWhen the money actually changed hands. It can differ from the period start.
Amount in figures and wordsWriting the amount both ways is the standard guard against tampering.
Landlord PAN (India)Mandatory when yearly rent crosses Rs. 1,00,000. Employers will ask for it.
Receipt numberSequential numbering keeps the landlord’s records clean and is expected in court filings.
SignaturesThe landlord’s signature is what makes the receipt valid for HRA and most official uses.

Rent receipts and HRA exemption in India

HRA exemption is calculated as the smallest of three figures: the actual HRA in your salary, the rent paid minus 10% of basic plus DA, and 50% of basic plus DA for metro cities (40% elsewhere). Rent receipts are the proof your employer needs before applying that exemption to your salary.

Three details trip people up. First, the landlord’s PAN is compulsory when annual rent exceeds Rs. 1,00,000, and employers routinely reject receipts without it. Second, each month needs its own receipt with the correct period and date. A single receipt covering six months will not pass most HR checks. Third, the receipt must be signed. A printout without the landlord’s signature is just a draft.

If you pay by bank transfer, keep the statements too. They back up the receipts and speed up verification. For cash payments above Rs. 5,000 a month, a revenue stamp on the receipt is the traditional requirement, though many employers no longer insist on it.

Rent receipts in the US

Residential rent carries no sales tax in any US state, so a rent receipt never shows tax. What it does show is the period covered, which is what separates it from a generic payment receipt. Several states require landlords to hand over receipts for cash payments. Beyond that, tenants use receipts for state renter credits, home-office deduction files and rental history checks during mortgage applications.

Late fees deserve their own line. Many cities cap what a landlord can charge, and showing the fee apart from the base rent keeps the record clear if the amount is ever questioned.

How to generate a rent receipt in 4 steps

  1. Fill in the landlord block: name, address and PAN if it applies. Add the tenant name.
  2. Enter the property address and unit, then pick the rent month and year. Set the payment date.
  3. Type the monthly rent and choose the currency. The amount in words fills in on its own. Add a late fee only if one applies.
  4. Check the live preview, print or save the PDF, and get the landlord’s signature on the copy you submit.

Generating receipts for a full year

Most people need twelve receipts, one per month, for annual filing. The practical way to do it: fill the form once, generate January, change the month selector to February, generate again, and repeat. Each receipt gets its own number and period automatically. Keep the set together in one folder, digital and printed, so nothing goes missing at filing time.

Mistakes that get receipts rejected

Sample filled rent receipt

Here is what a completed receipt looks like for a typical case. Use it as a reference when filling the generator above.

Landlord PANABCDE1234F
TenantRahul Verma
Property2nd Floor, XYZ Apartments, Bangalore · Unit 4B
PeriodMarch 1 to March 31, 2026
Payment dateMarch 28, 2026
Monthly rentRs. 25,000.00
Amount in wordsTwenty five thousand rupees only
Payment methodBank transfer

Notice the period and the payment date are both present and differ slightly. That is normal: the receipt covers March, and the money arrived on March 28. Both dates belong on the document.

What if your landlord will not sign?

An unsigned receipt is weak for HRA and useless in a dispute, so this situation needs handling, not ignoring. Start by asking directly: many landlords simply never got into the habit and will sign a neat printed receipt without argument. Offer to bring all twelve at once at year end rather than one every month.

If the landlord still refuses, keep your bank statements showing the monthly transfers. Statements prove money moved, though they do not prove it was rent, so add whatever else ties the payment to the tenancy: the lease agreement, messages discussing rent, and any partial receipts you do have. For HRA, some employers accept this bundle with a declaration, but rules vary, so check with your HR before filing season, not during it.

Digital or printed: which to submit?

Employers and tax authorities accept both, but each has a catch. A digital PDF is easy to store and email, yet it still needs a signature to count, which means printing it for the landlord to sign and scanning it back. A printed receipt signed in ink is the simplest valid form. Whichever you choose, keep both versions: the signed paper in a folder and the scan in cloud storage. Receipts surface years later during assessments, long after anyone remembers where the paper went.

Frequently asked questions

What should a rent receipt include?
Landlord name and address, tenant name, property address, the period the payment covers, the amount in figures and words, the payment date, a receipt number, and the landlord’s signature. In India, add the landlord’s PAN if annual rent crosses Rs. 1,00,000.
Is a landlord required to give a rent receipt?
In several US states, landlords must provide receipts for cash rent payments. In India, receipts are required to claim HRA tax exemption. Even where not legally required, a receipt protects both sides with a written record.
Can I use this rent receipt for HRA exemption?
Yes. The receipts follow the format employers and tax authorities expect: landlord details, PAN field, property address, period and amount. Get each receipt signed by your landlord before submitting it.
Is landlord PAN mandatory on rent receipts?
In India, yes, when annual rent exceeds Rs. 1,00,000. Below that, PAN is not required. The generator includes an optional PAN field you can fill when it applies.
How do I show a late fee on a rent receipt?
Enter it in the late fee field. It appears as a separate line so the base rent stays visible, which matters for deposit calculations and any dispute about what was owed.
Can I generate receipts for past months?
Yes. Pick any month and year in the period selector. Generate one receipt per month so each has the correct period and date.
Is it free?
Yes. No signup, no watermark, unlimited receipts. Everything runs in your browser, so your landlord and tenant details are never uploaded.
Can I download as PDF?
Yes. Press the Print button and choose Save as PDF in the print dialog. The result is a clean, print-ready receipt.
