A landscaping estimate should separate design, installation and ongoing maintenance, list materials by quantity, and state what happens to existing plants and debris. Landscaping estimates cover two very different kinds of work in one document: a one-off install with a fixed end point, and a maintenance programme that continues indefinitely. Clients frequently read the total as though it covers both. Separating them into distinct sections, each with its own price and term, is the fastest improvement most landscapers can make to their paperwork.

The plant warranty question
Most landscapers offer some guarantee on planting, and most guarantees depend on the client watering correctly. If that condition is not written on the estimate, a client whose shrubs died in August will expect free replacements regardless.
One line handles it: “Plant material guaranteed 12 months subject to the watering schedule provided at handover. Guarantee excludes drought, frost damage and neglect.” Fair to both sides, and it turns a judgement call into an agreed term.

What causes landscaping estimates to fail
- Access not stated. Hand-barrowing material through a house instead of machine access can double the labour. Say which you priced.
- Install and maintenance merged. Clients sign expecting the total covers upkeep too.
- Plant sizes omitted. A 5-gallon shrub and a 1-gallon shrub are different prices and very different results.
- Disposal assumed. Green waste and old hardscape cost money to remove; name it or exclude it.

Should design be charged separately from installation?
Many landscapers charge a design fee and credit it against the installation if the client proceeds. Whichever you do, state it on the estimate. Clients who assumed the plan was free are unlikely to pay for it after seeing the install price.
How long should a landscaping estimate be valid?
Thirty days suits most work, and shorter is sensible in spring when plant stock and material prices move quickly. Seasonality matters more here than in most trades, since the same planting scheme can cost noticeably more a few months later.
Should the estimate cover plant warranty?
It should, along with the conditions attached. Most guarantees depend on the client watering as instructed, and stating that alongside the guarantee period prevents replacement claims for plants lost to drought or neglect.
