Landscaping runs two businesses at once: recurring maintenance that bills the same amount every month, and installation work that never bills the same twice. Mixing both on one invoice without separating them is how clients end up asking why their “usual $180” came to $1,400 this month.

A worked example

A monthly invoice combining routine maintenance with a one-off mulch installation:

The four maintenance visits are listed with their dates and the install is separate below. The client can see their regular service is unchanged and the extra is a one-off, which is the entire point.

What causes landscaping billing friction

  • Visit dates missing on recurring work. Clients count the cuts. If a month had five visits or a rain-out reduced it to three, the dates settle it without a conversation.
  • Materials without quantities. “Mulch $288” invites a question; “6 cu yd @ $48” does not.
  • Install mixed into the maintenance line. The recurring figure should stay recognisable month to month.
  • Seasonal contract credits applied silently. If the client prepaid for the season, show the drawdown so they can see the balance.

Should I invoice landscaping per visit or monthly?

Monthly is easier for both sides on recurring maintenance, provided you list each visit date inside the month. That way the client can reconcile the total against the number of cuts, which is the most common query in lawn-care billing.

How do I bill materials like mulch or sod?

By quantity and unit: cubic yards for mulch and soil, square feet for sod, per plant for stock. A lump-sum material charge is hard for a client to verify and slows payment on larger installs.

What if rain cancelled a scheduled visit?

Bill only the visits that happened and list their dates. If your contract charges a flat seasonal rate regardless of weather, state that on the invoice so a short month does not read as an overcharge.
