What slows janitorial invoice approval
- Periodic work folded into the contract amount. The recurring figure must stay constant, or every month becomes a query.
- No site reference. Multi-site clients allocate costs per building and cannot process an unlabelled invoice.
- Service period vague. “August” is weaker than the actual dates covered, especially when a contract starts mid-month.
- Consumables with no detail. If supplies are billed on top of the contract, itemise them. Otherwise they look like padding on a fixed-price agreement.

How do I bill periodic work like strip and wax?
As a separate line with the date it was performed, outside the recurring contract amount. Periodic work is usually scheduled a few times a year, and mixing it into the monthly figure makes the contract price look inconsistent.
Should consumables be included in the contract price?
Either arrangement is common. If supplies are included, say so on the invoice; if they are billed on top, itemise them by category. What causes friction is an unexplained supply charge appearing on what the client believes is a fixed-price agreement.
