Childcare invoices do a job most invoices do not: they end up attached to a tax return. Parents claiming a childcare credit need the provider’s name, address and taxpayer identification number, and they will come back for it in February if it is not on the statements you sent all year. Putting it on every invoice saves that conversation entirely.

A monthly statement for one child in full-time care:

Late fees carry the dates and the minutes. Nothing causes a harder conversation with a parent than a fee they cannot place, and nothing settles it faster than a date.

What causes billing friction in childcare

  • No provider tax ID. Parents need it at tax time. Every invoice should carry it.
  • Late fees without dates. A line reading “late fees $40” will be questioned; two dated entries will not.
  • Subsidy payments not shown. If an agency pays part of the fee, show the agency portion and the family portion separately.
  • Holiday or closure weeks unclear. If tuition is charged for a week the centre was closed under your policy, note the policy on the invoice.

How should late pickup fees appear?

As individual dated lines showing when the late pickup happened and how long it ran. A single combined late-fee total is the most commonly disputed item on childcare invoices because parents cannot verify it.

How do I show a childcare subsidy on the invoice?

List the full tuition first, then show the agency or subsidy portion as a deduction, leaving the family’s share as the balance due. Both the parent and the funding body usually need to see the split.
