Airbnb Receipt Template

A short stay or Airbnb receipt confirms what a guest paid for a booking. It shows the property, the check-in and check-out dates, the nightly rate, cleaning and service fees, taxes, and the total. Hosts issue one when a guest needs it for expenses, and platforms do not always provide a document that an employer will accept. You can make one free below.

Guests travelling for work run into this constantly. The platform confirmation email is a booking summary rather than a receipt, and it often lacks the host details or the tax breakdown an accounts team asks for.

What goes on a short stay receipt

  • Host or property manager name and contact details
  • Property address, or the listing name and reference
  • Guest name and number of guests
  • Check-in and check-out dates, and the number of nights
  • Nightly rate, and the nights subtotal
  • Cleaning fee and any service or platform fee, each on its own line
  • Occupancy or tourist tax, listed separately
  • Total paid, payment method and date
  • Booking or confirmation reference

A four night stay

Four nights, 3 to 7 March. Nightly rate $128, nights subtotal $512. Cleaning fee $65. Occupancy tax at 6 percent, $34.62. Total $611.62, paid on 1 February, booking reference HMX-40922.

Splitting the cleaning fee out sounds fussy until a claim comes back. Some employers reimburse accommodation but treat cleaning as a separate category, and a single lump total gets the whole claim sent back.

Why hosts get asked for this

Platform payout statements are written for the host, not the guest, so they show what you received after commission rather than what the guest paid. A guest claiming the stay needs the gross figure with taxes identified. Issuing your own receipt also gives you a clean record for your own accounts, which is useful when occupancy tax is collected by the platform in some cities and by you in others.

Send a guest a receipt

Enter the nights, the cleaning fee and the tax separately in the receipt generator, then email the guest a PDF. Takes about a minute.

Frequently asked questions

Does Airbnb provide a receipt for guests?

It provides a booking confirmation and a payment breakdown in the guest account. Many employers want a document naming the host and showing taxes separately, which is why hosts are often asked to issue one directly.

Should occupancy tax be shown separately?

Yes. Tourist and occupancy taxes are treated differently from accommodation cost in most expense policies, and in some cities the guest can reclaim them. A combined total makes that impossible to check.

Can I issue a receipt after the guest has checked out?

Yes, and it is common. Use the actual stay dates and the amount the guest paid rather than your net payout, which will be lower after platform commission.
