Oil Change Receipt Template
An oil change receipt records a completed service: the shop, the vehicle and its odometer reading, the oil grade and quantity, the filter fitted, labour, and the total paid. It also states when the next service is due. Owners keep these because a documented service history protects both warranty and resale value. You can make one free below.
This is one of the few receipts people deliberately hold on to for years. A buyer looking at a used car wants to see the intervals, and a manufacturer refusing a warranty claim will ask for exactly this.
What goes on an oil change receipt
- Shop name, address, phone and technician
- Customer name
- Vehicle year, make, model, and the plate or VIN
- Odometer reading at the time of service
- Date of service and invoice number
- Oil grade and specification, such as 5W-30 full synthetic
- Quantity used, in quarts or litres
- Oil filter part number, and drain plug washer if replaced
- Labour charge, shop supplies and disposal fee
- Any inspection points checked, such as tyre pressures or fluid top ups
- Next service due, as both a mileage figure and a date
- Tax, total and payment method

Years later, the odometer and the oil specification carry all the value in this document. A receipt saying only oil change and a price proves a payment, not a service.
Why service records matter
Manufacturers can decline an engine warranty claim if the owner cannot show the oil was changed at the specified interval with oil meeting the specification. That is why the grade belongs on the receipt in full rather than as the word oil. For a used car sale, a run of dated receipts with rising odometer readings is worth real money, because it is the only independent evidence of how the car was treated.
