Taxi Receipt Template

A taxi receipt without a date, route or itemised extras is the quickest way to get an expense claim rejected. A good one records the pickup and drop-off, time, distance, fare, tolls, surcharges, tip and total. Make one free below with no signup, and download it as a PDF.

Passengers ask for a receipt because someone else is paying for the ride. That means the receipt has to stand on its own in front of an accounts team that was not in the car, which is why the route and the time matter as much as the amount.

What goes on a taxi receipt

  • Company name, or the driver trading name, with a contact number
  • Driver number, medallion number or vehicle plate
  • Date, pickup time and drop-off time
  • Pickup and drop-off locations
  • Distance travelled
  • Metered fare, then extras on their own lines: tolls, airport fee, night or holiday surcharge, waiting time
  • Tip, total, and how it was paid

A fare, worked through

Airport run at 06:40. Pickup 118 Grand Street, drop-off Terminal B. Distance 11.4 miles, 32 minutes. Metered fare $38.50, airport access fee $2.50, toll $6.55. Subtotal $47.55, tip $7.00, total $54.55, paid by card ending 2291.

Keep the toll and the airport fee off the metered fare line. Passengers query combined totals far more often than itemised ones. It also matters where tolls are reimbursed but tips are not.

What passengers need it for

Most taxi receipts end up in an expense claim, and the two things that get them rejected are a missing date and a missing route. Some employers will not reimburse a ride without both endpoints, because that is how they check it was a business trip rather than a commute. If you drive under a licence, printing your medallion or driver number also protects you when a passenger disputes a fare with the regulator.

Print a fare receipt

The receipt generator keeps the fare, the extras and the tip on separate lines. Fill one in at the end of a shift and download it.

Taxi, rideshare or private hire: who gives you the receipt?

Ride type How you usually get the receipt What to check
Street-hail taxi The driver prints it from the meter or fills in a slip, and some give none unless you ask Ask before you get out, and check the date, route and total
Rideshare app The app emails a receipt automatically after the trip Download it from the app or your email, since it already shows route, time and fare
Private hire or chauffeur The company sends a receipt or invoice, often on request Ask for it to show the pickup, drop-off and any waiting time

How should you itemise tolls, fees and surcharges?

Every extra belongs on its own line, so a reader can see what each charge was for and accept or query it separately.

Line Why it should be separate
Metered fare The core charge for the distance and time
Toll Reimbursed by many employers as a real cost
Airport or station fee Set by the airport, not the driver
Night or holiday surcharge Explains why the fare is above the normal rate
Waiting time Shows the driver waited at the passenger’s request
Booking fee Charged for the dispatch, not the ride
Tip Often capped or excluded by expense policies

A second example: a city trip with waiting time

Receipt 0212, 14 October 2026. Pickup 6:15 pm, 2 Market Square. Drop-off 6:37 pm, 21 River Road. Distance 5.8 miles. Metered fare $19.80, waiting time (6 minutes) $2.40, booking fee $1.50. Subtotal $23.70, tip $4.00, total $27.70. Paid in cash. Driver number 4471.

What if you did not get a receipt?

  • Ask the taxi company or dispatcher for a copy. Most keep a record of each booked trip.
  • If you paid by card, your card statement shows the amount and date, and the company can match it to the trip.
  • Take a photo of the meter at the end of the ride next time, and note the pickup and drop-off.
  • Do not invent a receipt. A receipt must match a real ride, because employers and tax authorities can check it against company records.

What should drivers keep?

Keep a copy of every receipt you issue and log each day’s fares, tolls and tips. That gives you a clean record of income if you are self-employed, and it settles a passenger’s dispute about a fare in a few seconds.

Which taxi receipt mistakes get claims rejected?

  • No date or pickup time.
  • Only a pickup point and no drop-off, or the other way round.
  • The tip folded into the total.
  • Tolls and airport fees added to the metered fare without a separate line.
  • No operator name or driver number, so the receipt cannot be traced.
  • A handwritten total that does not match the line items.

Frequently asked questions

Is there a taxi receipt generator?

Yes. The free receipt generator above works as a taxi receipt generator: add the fare, tolls and surcharges as separate lines and it totals them.

What has to be on a taxi receipt?

At minimum the date, the fare and the operator. In practice a passenger claiming the ride back also needs the pickup and drop-off, the time, and any tolls or surcharges shown separately from the metered fare.

Do I need to show my medallion or driver number?

Many licensing authorities require it on a receipt, and passengers often need it to trace a lost item or dispute a fare. Even where it is optional it makes the receipt look legitimate to an accounts department.

Should the tip be on the receipt?

Yes, on its own line. A lot of expense policies reimburse the fare but cap or exclude the tip, so a combined total causes the whole claim to be queried.

How do I get a receipt from a taxi?

Ask the driver before you leave the car, or contact the taxi company afterwards with the date, time and pickup point. Rideshare apps email a receipt automatically.

Can I claim a taxi fare as a business expense?

Often yes, when the ride had a business purpose and you have a receipt. Rules and limits vary by country and employer, so check your policy or ask an accountant.

Can a taxi driver give a handwritten receipt?

Yes, as long as it shows the date, the pickup and drop-off, the fare, any extras and the driver or operator details. A printed or PDF receipt is easier to read and to keep.

What if I lost my taxi receipt?

Ask the taxi company for a copy, or use the matching card statement as supporting evidence. A receipt must reflect a real ride, so do not create one for a trip that did not happen.
