Itemized Receipt Template
An itemised receipt lists every product or service bought on its own line with quantity and unit price, followed by the subtotal, tax and total. It differs from a card slip, which shows only the amount charged. Expense policies and tax authorities almost always want the itemised version. You can make one free below.

The reason itemised receipts keep coming up is that a total on its own proves a payment happened but says nothing about what was bought. That distinction is where most rejected expense claims come from.
What makes a receipt itemised
- One line per item or service, described in words a stranger would understand
- Quantity and unit price on each line, with the line total
- Subtotal before tax
- Tax shown as its own line, with the rate if you can
- Any discount applied, as a separate negative line rather than folded into prices
- Total paid, payment method and date
- Seller name, address and tax number where relevant
One filled in
Three items on one sale. Printer paper, 5 reams at $6.40, line total $32.00. Toner cartridge, 1 at $78.90. USB hub, 2 at $19.50, line total $39.00. Subtotal $149.90. Tax at 7 percent, $10.49. Total $160.39, paid by card ending 6017.
Anyone reading that six months later can tell what was bought and check the arithmetic. That is the entire point of itemising.
Itemised receipt or card slip
A card slip is generated by the payment terminal and shows the merchant, the date and the amount. An itemised receipt is generated by the seller and shows the contents of the sale. Reimbursement policies at most employers ask for the second, and many will accept the card slip only as supporting evidence alongside it. If a customer asks you for an itemised copy after the fact, reissue it with the original transaction date rather than the date you printed it.

Frequently asked questions
What is the difference between an itemised receipt and a normal receipt?
An itemised receipt breaks the sale into individual lines with quantities and unit prices. A normal receipt or card slip may show only the total charged, which is usually not enough for an expense claim or a tax deduction.
Does an itemised receipt need to show tax separately?
It should. Showing tax on its own line lets the buyer see the pre-tax subtotal. Most businesses need that figure for their own books, and for reclaiming tax where they can.
Can I issue an itemised receipt after the sale?
Yes. Reissuing a fuller copy of a receipt is normal, provided the details match the original transaction. Keep the original date on it.
