DJ Invoice Template
A DJ invoice bills a booking: the deposit already paid, the performance fee for the agreed hours, any overtime, and equipment or travel charged separately. A worked example and a free generator are below.
Most DJ bookings are quoted as a flat fee for a set block of hours, so the invoice has to show what that fee assumed and what fell outside it. That is where the extra charges live, and where a client is most likely to query a line.
What goes on a DJ invoice
- Your business name and contact details
- Client name and event date
- Invoice number and issue date
- Event package or performance fee, with the hours it covers stated
- Deposit already paid, shown as a credit against the total
- Overtime, billed per half hour beyond the agreed finish time
- Equipment: additional speakers, lighting, fog or a second system for a ceremony space
- Travel fee for venues outside your standard radius
- MC or announcement duties, if quoted separately from the DJ set
- Tax, total, and the balance due after the deposit
A worked example
Wedding reception, 6 October. Performance fee, 5 hours, $850.00. Uplighting package, $150.00. Overtime, 40 minutes at $40 per half hour, $80.00. Subtotal $1,080.00. Deposit paid on booking, -$300.00. Tax at 7%, $54.60. Balance due $834.60.
Couples query the overtime line more than any other, so state the per half hour rate on the invoice instead of only the total. That heads off the question before it turns into a conversation.
Deposits and the balance due
Most DJs take a deposit to hold the date, often 20 to 30 percent of the package fee, and it is non-refundable if the client cancels close to the event. Show the deposit as a credit against the full fee rather than issuing a second invoice for just the balance. That keeps one document showing the whole booking, which matters if a client questions the total months after paying the deposit and forgetting the figure.
