Musician Invoice Template
A musician invoice bills a gig fee, whether it is one performer or a full band, plus anything outside the base fee: extra sets, rehearsal time, or travel. A worked example and a free generator are below.
Bands complicate an invoice a solo act does not have to deal with: one client, one fee, but the money often needs splitting between members afterward. The invoice should still read as a single, clean bill.
What goes on a musician invoice
- Your name or band name, and contact details
- Client name and event date
- Invoice number and issue date
- Base performance fee, with the number of sets or hours it covers
- Number of musicians included in the fee, if it varies by lineup
- Additional set or extended playing time, billed separately
- Rehearsal time, if billed rather than included
- Travel or mileage beyond a stated radius
- Deposit already paid, credited against the total
- Tax, total, and balance due
A worked example
Wedding ceremony and reception, string trio, 14 September. Ceremony set, 30 minutes, $300.00. Reception sets, two sets of 45 minutes, $900.00. Travel, 38 miles round trip at $0.75, $28.50. Subtotal $1,228.50. Deposit paid, -$250.00. Tax at 6%, $73.71. Balance due $1,052.21.
Splitting the ceremony fee from the reception sets matters when a couple books one and not the other, or adds the ceremony after the reception was already quoted.
Billing as a band without arguing over the split
Issue one invoice to the client for the full fee, then handle the division between members separately, whether that is equal shares or weighted by who arranged the booking. Trying to itemise each musician’s cut on the client-facing invoice makes it longer and gives the client a reason to negotiate down an individual’s share rather than the whole fee.
