Car Sale Receipt Template

A car sale receipt records the private sale of a vehicle: both parties, the vehicle with its VIN and odometer reading, the price, the date and time the vehicle changed hands, and the condition it was sold in. It protects the seller from anything that happens after the buyer drives away, and gives the buyer proof of what they paid. You can make one free below.

The risk in a private car sale is almost entirely about timing. A parking ticket, a toll or a collision the afternoon after the sale comes back to whoever the records still show as the owner, and a receipt with a time on it is the first thing that answers it.

What goes on a car sale receipt

  • Seller full name, address and phone
  • Buyer full name, address and phone
  • Vehicle year, make, model, body type and colour
  • VIN, and the registration plate
  • Odometer reading at the moment of sale, and whether it is actual, exceeds mechanical limits, or is not the true mileage
  • Sale price in figures and in words
  • Deposit already paid, and the balance received
  • Payment method, and confirmation that funds have cleared
  • Date and time possession transferred
  • Condition wording, commonly sold as seen with no warranty given or implied
  • What was handed over: keys, how many, title or logbook, service history, spare wheel
  • Signatures from both parties, each keeping a copy

What this document does not do

A receipt proves payment and records the handover. It does not transfer ownership on the register. Title or logbook transfer is a separate step handled by your state or national vehicle authority. Do it promptly, because that is the point your liability for the vehicle ends. Notify them on the day rather than leaving it to the buyer.

Requirements also vary by jurisdiction. Some states require a notarised bill of sale, and odometer disclosure rules differ by vehicle age. Check what your own authority asks for before you rely on this as your only paperwork.

Write up the sale

Both parties, the VIN, the odometer and the price go into the receipt generator. Print two copies and sign them before the keys change hands.

Is a car sale receipt the same as a bill of sale?

They overlap. A bill of sale is the document recording the transfer of a vehicle between two parties. A receipt proves the money was paid. In a private sale one document usually does both, provided it names both parties, the vehicle and the price.

Does a car sale receipt transfer ownership?

No. It evidences the sale, but ownership on the register changes only when the title or logbook transfer is processed by your vehicle authority. Notify them on the day of sale to end your liability.

What does sold as seen mean?

It states the buyer accepts the vehicle in its current condition with no warranty from the seller. It is standard in private sales, though it does not protect a seller who actively misrepresented the vehicle, and consumer law treats trade sellers differently.
