Coffee Shop Receipt Template

A coffee shop receipt lists each drink with the size and any customisations, plus food, the tax, tip and total. It should also show whether the order was eaten in or taken away, because that changes the tax in many places. You can make one free below with no signup.

Coffee tickets are small, which is exactly why the detail gets dropped. Then a customer queries a $19 order they thought was $12, and there is nothing on the slip that explains the four syrup shots and the extra espresso.

What goes on a coffee shop receipt

  • Shop name, address and phone
  • Date, time, order number and barista or till number
  • Each drink with its size, then customisations indented beneath it
  • Paid extras priced on their own lines: extra shot, oat milk, syrup, decaf swap
  • Food items, with anything heated marked, since hot food is often taxed differently
  • Eat in or takeaway
  • Subtotal, tax, tip line and total
  • Loyalty card number, stamps or points earned and the balance
  • Payment method with the last four digits

A morning order

Order 214, 08:07, barista Sam. Large flat white $4.60, extra shot $0.80, oat milk $0.60. Medium filter coffee $3.10. Toasted cheese croissant $5.40, heated. Subtotal $14.50, tax at 8 percent $1.16, tip $2.00, total $17.66. Takeaway. Card ending 9021. Loyalty 8 of 10 stamps.

Price the customisations separately and the total explains itself. A single line reading flat white at $6.00 looks like a price rise. Three lines adding to $6.00 looks like a choice the customer made.

Eat in, takeaway and tax

In a lot of tax systems the same drink is treated differently depending on where it is consumed. UK VAT applies to eat in and to anything served hot, while some cold takeaway items are zero rated. Several US states tax prepared and heated food but exempt packaged goods. If you sell both, the receipt needs to say which applied, otherwise your daily totals will not reconcile and neither will your return.

Why should customisations be listed separately?

They are the reason a drink costs more than the menu price. Itemising the extra shot or the milk swap turns a surprising total into an understandable one and cuts down on disputes at the counter.

Does eat in or takeaway change the tax?

In many places yes. UK VAT applies to eat in and to hot food, and several US states tax prepared food while exempting packaged items. Record which one applied, or your takings will not reconcile at the end of the day.

Should a coffee shop receipt show loyalty points?

It helps. Printing the stamp or point balance saves the counter answering it later and gives the customer a reason to keep the receipt rather than leave it on the tray.
