Plumbing Invoice Template

A plumbing invoice bills the call-out, labour, and parts: valves, fittings, a water heater or fixture. Say whether the job was flat-rate or hourly, mark emergency and after-hours work as its own line, and include the property address. Build one free below, no signup or watermark.

Plumbing invoice template filled in with an out of hours call-out, labour hours, a mixer valve and parts.
Emergency call-out billed separately from labour, which is where plumbing invoices get queried.

Plumbing has the widest gap between what a job costs and what a customer expects it to cost. Someone who called about a leak at 9pm is not thinking about emergency rates until the invoice arrives. The fix is not softer pricing, it is an invoice that shows why the number is what it is, before anyone has to ask.

What goes on a plumbing invoice

Line What it covers
Call-out fee Travel and first attendance, once per visit
Labour or flat rate Hours × rate, or the agreed flat price for the job
Parts Valves, fittings, pipe, water heater, fixtures, with quantities
Emergency / after-hours Any out-of-hours premium, labelled clearly
Property address Essential for landlords and managing agents
Totals & terms Subtotal, tax, total due and a dated term

A worked example

A failed 50-gallon water heater replaced the same afternoon:

  • Call-out and assessment: $95.00
  • Labour, 3.5 hrs @ $105.00/hr: $367.50
  • 50-gal gas water heater: $780.00
  • Expansion tank, flex connectors, fittings: $124.00
  • Old unit removal and disposal: $45.00
  • Property: 14 Ashford Road, Unit 2
  • Subtotal $1,411.50 · tax as applicable · due in 7 days

Disposal is its own line. It is a real cost, it is small, and hiding it inside labour is exactly the kind of thing that makes a customer feel the bill was padded.

What holds up plumbing invoices

  • Emergency premium not labelled. If a night call was billed at 1.5×, show it. Customers rarely object to the rate; they object to finding it by accident.
  • No property address on rental work. Letting agents allocate costs per unit. Without the address the invoice goes back in the pile.
  • Flat rate with no scope. If you quoted a flat price, write what it included. Otherwise a follow-up call becomes an argument about what was covered.
  • Parts marked up invisibly. Charging for parts is normal. Listing them at quantity and price is what keeps it from looking like guesswork.

Frequently asked questions

Should a plumbing invoice show hourly or flat-rate pricing?

Either works, but the invoice should say which one was used. If it was flat-rate, add a short line describing what the price included. That single sentence prevents most disputes about whether a follow-up visit or extra part was covered.

How do I bill an emergency or after-hours call?

Show the premium as its own labelled line rather than folding it into a higher hourly figure. Customers accept out-of-hours rates when they can see them; they push back when a rate silently changes between the quote and the invoice.

Do I need the property address if I am billing a landlord?

Yes. Landlords and managing agents allocate maintenance costs per property, so an invoice without the specific address and unit number usually gets returned before it is paid.
