HVAC Invoice Template
An HVAC invoice bills the diagnostic or service call fee, labour hours, and parts: capacitors, motors and refrigerant by the pound. Record the equipment make, model and serial number, and note whether a part was covered by warranty or billed. Build one free below, no signup.

HVAC billing has one complication most trades do not: refrigerant. It is sold by weight, it is tracked, and clients notice when a line simply reads “refrigerant” with a three-figure number beside it. Add the fact that half the parts on a newer system may still be under manufacturer warranty, and a vague invoice turns into a phone call.

Refrigerant is shown by type and weight rather than as a lump sum. That single habit removes most of the questions homeowners ask about HVAC bills.
What causes disputes on HVAC invoices
- Refrigerant as a flat charge. Show the type and pounds. “R-410A, 2 lb” is checkable; “refrigerant $150” is not.
- No serial number. If the homeowner later makes a warranty claim, the invoice is the proof of what was serviced. Without the serial it is much weaker.
- Warranty parts not marked. If you replaced a compressor under manufacturer warranty and only billed labour, say so on the invoice. Otherwise it reads as though you missed a charge, or worse, added one.
- Maintenance-plan credits applied invisibly. Show the discount as its own line so the customer sees the plan working.

How should refrigerant appear on an HVAC invoice?
List the refrigerant type and the number of pounds added, with a per-pound price, for example “R-410A, 2.0 lb @ $75.00/lb”. A single lump-sum refrigerant charge is the most commonly queried line on HVAC invoices because the customer has no way to check it.
Should I put the equipment serial number on the invoice?
Yes. The make, model and serial tie the work to a specific unit, which matters if the customer later files a manufacturer warranty claim or sells the property and needs a service history. It costs nothing to add and makes the document far more useful.
How do I show a part that was covered by warranty?
List the part with the amount and a note that it was supplied under manufacturer warranty at no charge, then bill the labour separately. Leaving covered parts off entirely makes the invoice harder to reconcile against the work performed.
