What Makes a Valid Cash Receipt?

A valid cash receipt records a payment made in cash: who paid, who received it, how much, the date, and what it covered. Because cash leaves no bank statement behind, the receipt is the only proof the payment happened — which is exactly why it matters.

Why cash needs a receipt more than a card does

A card or bank transfer leaves a trail on its own. Cash doesn’t. The receipt is what protects both sides if a payment is ever questioned, and it gives you a clean record for your books.

What a valid cash receipt includes

  • Who issued it — your business or your name.
  • Who paid.
  • The amount, in figures and, for larger sums, in words.
  • What the payment was for.
  • The date, and the method marked as cash.
  • A receipt number and a signature acknowledging receipt.

Why writing the amount in words helps

A figure can be altered with a stroke of a pen; “one thousand two hundred dollars only” is far harder to change. For anything but small sums, show both.

  • Number receipts in sequence and keep a copy of each.
