Credit Card Receipt Template
A credit card receipt is the slip a payment terminal produces to record a card transaction. It shows the merchant, the terminal and merchant IDs, the card brand with the last four digits, the authorisation code, the entry method and the amount. It proves a payment cleared, but it does not show what was bought. You can make one free below.
This is the document most people mean when they say they have a receipt. It is also the one most expense policies reject on its own. Knowing why is the difference between a claim that goes through and one that bounces.
What goes on a credit card receipt
- Merchant name, address and merchant ID
- Terminal ID and, where used, the batch and sequence number
- Date and time of the transaction
- Card brand and the last four digits, never the full number
- Entry method: chip, contactless, swipe or keyed
- Transaction type: sale, refund, void or pre-authorisation
- Authorisation or approval code from the issuer
- Amount, and a tip line with a total line where tipping applies
- Whether the copy is the merchant copy or the customer copy
- Signature line, or a verified by PIN note
- EMV application data on chip transactions, such as the AID

Why this is not enough for an expense claim
A card slip proves that a payment of a certain amount went to a certain merchant. It says nothing about what was bought, which is exactly what an employer or a tax authority wants to know. That is why policies ask for the itemised receipt and treat the card slip as supporting evidence. The two are usually printed together at the counter, and it is the itemised half that gets thrown away.
Keep the last four digits only. Printing a full card number on a receipt breaches card scheme rules in most regions and creates a liability you do not want sitting in a till drawer.

Frequently asked questions
Is a credit card receipt proof of purchase?
It proves a payment was made to a merchant for an amount. It is not proof of what was bought, which is why most expense policies ask for the itemised receipt alongside it.
Can a receipt show the full card number?
No. Card scheme rules require truncation, normally to the last four digits, along with masking of the expiry date. Printing the full number on a customer receipt is a compliance breach.
What is the authorisation code on a card receipt?
It is the reference the card issuer returns when it approves the transaction. A merchant or bank uses it to trace the payment if a customer later disputes the charge.
