Refund Receipt Template

A refund receipt is written proof that you gave money back. It records the original purchase, what was refunded, the amount, and how the money went back โ€” cash, card reversal, or store credit. Hand one over every single time you refund, even to regulars. It ends ‘but I never got my money back’ disputes before they start, and it keeps your books honest at tax time.

Customers dispute refunds twice: once when the money seems not to arrive, and again when your books do not balance. A refund receipt that points back at the original sale settles both. Make one free below with no signup: reference the sale, refund part or all of it, and download the PDF.

Refunds are the transactions most likely to be disputed twice, once when the customer says the money never arrived and again when the books do not balance. A receipt that points back at the original sale settles both.

What goes on a refund receipt

  • The word Refund, and a unique refund number
  • The original receipt or invoice number, and its date
  • Customer name
  • Item or service being refunded, with quantity if it is a partial return
  • Reason for the refund, briefly
  • Amount refunded, with tax shown separately if tax was charged originally
  • Refund method, and the last four digits if it went back to a card
  • Date issued, and the date the customer should expect to see it
  • Whether this closes the sale or a balance remains

An example

Original invoice 2026-0184, dated 14 May, total $312.00. One item returned at $86.00 plus $6.02 tax. Refund 2026-R012 issued 21 May for $92.02, returned to the card ending 3390. Expected to clear in three to five working days. Remaining balance on the original sale, $219.98.

Refund receipt or credit note

These are close but not the same. A refund receipt says money has physically gone back to the customer. A credit note reduces what a customer owes without any money moving. Issue one when the original invoice is still unpaid. Sending the wrong one is a common bookkeeping mess, because a credit note against an already refunded sale credits the customer twice.

How do you issue a refund receipt, step by step?

  1. Find the original sale and note its receipt or invoice number and date.
  2. Give the refund its own number, separate from the sale.
  3. List only what is being returned, with the quantity and the matching tax.
  4. Write the refund method, and for cards the last four digits.
  5. Add the date issued and when the customer should see the money.
  6. Send the receipt with, or straight after, the refund, and keep a copy with the original sale.

The receipt generator lets you reference the original sale and download the finished PDF.

How should you record a refund in your books?

A refund reduces your sales, so subtract it from revenue in the period you issue it and reverse the proportional tax you collected. Keep the refund receipt next to the original sale so an accountant or auditor can follow the trail from one to the other. Card refunds usually take several business days to reach the customer, so the date you issue the refund and the date the money lands may differ. Write both down if the gap matters.

Which mistakes cause refund disputes?

  • No link to the original sale, so nobody can match the refund to a purchase.
  • Refunding the price but not the tax, which leaves your records out of balance.
  • Paying a refund to a different card or account than the one used to pay.
  • No date for when the customer should expect the money.
  • Sending a credit note when the customer expected money back, or the reverse. See what a credit note is and the credit note generator.
  • No copy kept, so a later dispute rests on memory.

Frequently asked questions

Is a refund receipt the same as a credit note?

No. A refund receipt confirms money was returned to the customer. A credit note reduces an outstanding balance without any payment moving, and is used when the original invoice has not been settled.

Do I refund the tax as well?

Normally yes. If sales tax or VAT was charged on the original sale, the refund should include the proportional tax and show it separately, so both sides can adjust their records.

How long should I keep refund receipts?

Keep them as long as you keep the original sales records, which in most jurisdictions is several years. A refund without a matching record is one of the easier things for an auditor to question.

What is a refund receipt?

A refund receipt is a document that records money returned to a customer. It shows the original sale, what is being refunded, the amount, the refund method and the date.

How do I write a refund receipt?

Give it a unique refund number, reference the original receipt or invoice, list the item returned with the matching tax, state the amount and method, and add the date. Keep a copy with the original sale.

Can I issue a refund without the original receipt?

You can, if your policy allows it, but record the sale details you can verify, such as the date, item and payment method, and note that the original receipt was not shown.

How long does a card refund take?

It is usually several business days after you issue it, depending on the card issuer and bank. Put the issue date on the receipt and tell the customer when to expect the money.

Is a refund receipt the same as a return receipt?

Not quite. A return receipt records that goods were handed back. A refund receipt records that money was returned. Many shops issue one document that does both.

Where can I get a free refund receipt template?

Here โ€” the template on this page is free and takes about two minutes to fill in. Enter the original receipt or order number, the items refunded, the amount, and the refund method, then print two copies: one for the customer, one for your files. If you issue refunds often, save a blank copy and reuse it โ€” consistency matters more than design when a dispute lands on your desk six months later.

What is the difference between a refund receipt and a return receipt?

They get mixed up constantly. A return receipt (or return label) proves the customer sent goods back to you. A refund receipt proves you sent money back to the customer. A return often leads to a refund, but not always โ€” exchanges and store credit involve a return with no money changing hands. If cash or a card reversal is involved, issue the refund receipt; it is the one your accountant will ask for.
