A taxi receipt records a single fare: the pickup and drop-off, the date and time, distance, the fare itself, any tolls or surcharges, tip and total. Licensed drivers usually add the medallion, plate or driver number. You can make one free below with no signup.

Passengers ask for a receipt because someone else is paying for the ride. That means the receipt has to stand on its own in front of an accounts team that was not in the car, which is why the route and the time matter as much as the amount.

What goes on a taxi receipt

  • Company name, or the driver trading name, with a contact number
  • Driver number, medallion number or vehicle plate
  • Date, pickup time and drop-off time
  • Pickup and drop-off locations
  • Distance travelled
  • Metered fare, then extras on their own lines: tolls, airport fee, night or holiday surcharge, waiting time
  • Tip, total, and how it was paid

Keep the toll and the airport fee off the metered fare line. Passengers query combined totals far more often than itemised ones. It also matters where tolls are reimbursed but tips are not.

What passengers need it for

Most taxi receipts end up in an expense claim, and the two things that get them rejected are a missing date and a missing route. Some employers will not reimburse a ride without both endpoints, because that is how they check it was a business trip rather than a commute. If you drive under a licence, printing your medallion or driver number also protects you when a passenger disputes a fare with the regulator.

What has to be on a taxi receipt?

At minimum the date, the fare and the operator. In practice a passenger claiming the ride back also needs the pickup and drop-off, the time, and any tolls or surcharges shown separately from the metered fare.

Do I need to show my medallion or driver number?

Many licensing authorities require it on a receipt, and passengers often need it to trace a lost item or dispute a fare. Even where it is optional it makes the receipt look legitimate to an accounts department.

Should the tip be on the receipt?

Yes, on its own line. A lot of expense policies reimburse the fare but cap or exclude the tip, so a combined total causes the whole claim to be queried.
