Car Rental Receipt Template
A car rental receipt records a completed hire: the vehicle, the pickup and return dates and locations, the daily rate, extras such as insurance and fuel, taxes and the total paid. Renters need it for expense claims and for disputing charges added after the car is returned. You can make one free below.
Rental receipts are queried more than most, because the final amount often differs from the quoted one. Charges land after the car comes back, so the receipt has to show what each of them was for.
What goes on a car rental receipt
- Rental company name, branch and contact details
- Renter name and agreement or reservation number
- Vehicle make, model and registration, plus the class booked
- Pickup date, time and location; return date, time and location
- Odometer out and in, and mileage allowance if the rate is capped
- Daily or weekly rate, number of days, and the rental subtotal
- Extras on their own lines: collision waiver, additional driver, child seat, GPS, young driver surcharge
- Fuel charge, and whether the car came back full
- Tolls, fines and any damage charge, each itemised
- Taxes and airport or location fees
- Deposit taken and released, then the total paid
A five day hire, itemised
Compact car, five days from 8 to 13 April, picked up at the airport branch. Rate $41 per day, subtotal $205. Collision waiver $14 per day, $70. Additional driver $9 per day, $45. Airport concession fee $23.40. Tax at 9 percent, $30.99. Refuelling charge $28.60 because the car came back three quarters full. Total $402.99.
Renters challenge the refuelling line more than any other, so record the fuel level at pickup and at return.
Insurance, fuel and the charges that arrive later
Two things cause most disputes. The first is the collision damage waiver, which is often sold at the counter and shows up as a daily charge the renter did not expect. The second is fuel, where a car returned slightly under full is refilled at a premium rate. Both should be separate lines with the rate stated, not folded into the rental total. If a toll or a parking fine is billed weeks later, issue an amended receipt referencing the original agreement number rather than a new standalone charge.
