Refund Receipt Template
A refund receipt records money returned to a customer. It shows the original sale it relates to, what is being refunded, the amount, the method the money went back by, and the date. It is the seller’s proof that the refund was actually issued. You can make one free below.
Refunds are the transactions most likely to be disputed twice, once when the customer says the money never arrived and again when the books do not balance. A receipt that points back at the original sale settles both.
What goes on a refund receipt
- The word Refund, and a unique refund number
- The original receipt or invoice number, and its date
- Customer name
- Item or service being refunded, with quantity if it is a partial return
- Reason for the refund, briefly
- Amount refunded, with tax shown separately if tax was charged originally
- Refund method, and the last four digits if it went back to a card
- Date issued, and the date the customer should expect to see it
- Whether this closes the sale or a balance remains
An example
Original invoice 2026-0184, dated 14 May, total $312.00. One item returned at $86.00 plus $6.02 tax. Refund 2026-R012 issued 21 May for $92.02, returned to the card ending 3390. Expected to clear in three to five working days. Remaining balance on the original sale, $219.98.
Refund receipt or credit note
These are close but not the same. A refund receipt says money has physically gone back to the customer. A credit note reduces what a customer owes without any money moving. Issue one when the original invoice is still unpaid. Sending the wrong one is a common bookkeeping mess, because a credit note against an already refunded sale credits the customer twice.

Frequently asked questions
Is a refund receipt the same as a credit note?
No. A refund receipt confirms money was returned to the customer. A credit note reduces an outstanding balance without any payment moving, and is used when the original invoice has not been settled.
Do I refund the tax as well?
Normally yes. If sales tax or VAT was charged on the original sale, the refund should include the proportional tax and show it separately, so both sides can adjust their records.
How long should I keep refund receipts?
Keep them as long as you keep the original sales records, which in most jurisdictions is several years. A refund without a matching record is one of the easier things for an auditor to question.
