What is a cash receipt?
A cash receipt is a written record that a payment was made in cash. It names the person who paid, the person who received the money, the amount, the date and the reason for the payment. The payer keeps it as proof they paid. The person who received the money keeps a copy as proof of income for bookkeeping and tax. Card and bank payments leave a statement behind. Cash does not, so the receipt is often the only evidence.
What should a cash receipt include?
Nine details make a receipt that holds up in a dispute.
| Detail | Example | Why it matters |
|---|---|---|
| Receipt number | 0147 | Sequential numbers show that no receipt is missing or duplicated |
| Date | 12 October 2026 | Fixes when the payment happened |
| Payer | Maria Lopez, 22 Elm Road | Shows who paid |
| Receiver | Brightside Cleaning, 41 High Street | Shows who got the money |
| Amount in figures and words | $250.00 (two hundred fifty dollars) | Words make the amount hard to alter |
| Payment method | Cash | Separates this payment from checks and cards |
| Purpose | Deep clean of a three-bedroom flat on 10 October | Ties the payment to a specific job or invoice |
| Balance remaining | $0.00, paid in full | Prevents arguments over part payments |
| Signature | Signed by the person who received the cash | Confirms the money was actually received |

How do you write a cash receipt, step by step?
- Give the receipt a number. If you use a receipt book, the printed number does this for you.
- Write the date the cash changed hands.
- Add the full names of the payer and the receiver, with an address or phone number for each.
- Write the amount in figures, then again in words.
- State what the payment was for. If it is a part payment, write the balance still owed.
- Have the receiver sign. Hand the original to the payer and keep a copy, either a duplicate page, a photo or a saved PDF.
If you would rather not write it by hand, the free cash receipt generator lays it out for you and downloads a PDF.
What makes a cash receipt useless?
- No signature, so it proves only that someone wrote a number on paper.
- An amount in digits only. A $150 receipt is easy to change into $750.
- No purpose, so a dispute about what the money covered cannot be settled.
- No balance on a part payment, so the customer believes the job is paid off.
- No copy kept by the person who received the money.
- A text message or a note on scrap paper used in place of a receipt for a larger sum.
How long should you keep cash receipts?
Keep each receipt copy at least as long as your tax authority requires you to keep the related records. In the US, the IRS generally advises keeping records for three years for most returns, and longer in some cases. Other countries have different periods, so check your own rules or ask your accountant. One more US rule: a business that receives more than $10,000 in cash in a single transaction, or in related transactions, must report it to the IRS on Form 8300. A receipt does not replace that report.
Cash receipt, invoice or payment receipt: which do you need?
An invoice asks for money and a receipt confirms it arrived. For work billed later, send an invoice first and issue the receipt when the cash comes in. For a one-off counter sale, a receipt on its own is enough. For more detail, see invoice vs receipt, how to write a cash receipt, what makes a cash receipt valid and money receipts explained.

Frequently asked questions
Is a cash receipt proof of payment?
Yes. A completed and signed cash receipt is strong proof that a specific cash payment was received. That matters most for cash, because there is no bank record to fall back on.
Is the cash receipt template free?
Yes. The Word and PDF versions are free with no signup and no watermark.
Should both people keep a copy?
Yes. The payer keeps the original as proof of payment, and the person who received the cash keeps a copy as a sales record.
Is a handwritten cash receipt valid?
Generally yes, as long as it shows the date, the amount, the payer, the receiver and the purpose, and the receiver signs it. A typed or printed receipt is easier to read and harder to alter.
Do I have to give a receipt for a cash payment?
Rules vary by country and state, and private sales are often treated differently from business sales. Even where the law does not demand one, issuing a receipt protects both sides.
What is the difference between a cash receipt and an invoice?
An invoice requests payment for goods or services. A cash receipt confirms that the payment has been made in cash.
Can the customer write their own cash receipt?
It is better when the person who received the money writes it. If the customer writes it, the receiver should check the details and sign it.
